A GPS mileage tracking system is a small device, measuring just a few centimetres, which is installed in the car. Locations are determined and transmitted via GPS (satellites) and GPRS (GSM network).

Yes, if a business driver does not opt for the additional tax liability, they may drive a maximum of 500 kilometres per calendar year for private purposes in the company vehicle. To prove this, a mileage log must be kept for the tax authorities. A journey log may also be required for other purposes, such as keeping track of business journeys made in a private car.

There are a number of situations in which you do not need to keep a mileage log. For example, if you drive more than 500 kilometres for private purposes in a company vehicle and therefore pay additional tax.

You also do not need to keep a mileage log if you or your employee has a van that is not used outside office hours. However, it is important that you can demonstrate that the van is not actually used for private purposes.

Nevertheless, it can still be useful to keep track of your mileage, just to be on the safe side.

"Contrary to popular belief, it is not necessary to send your mileage log to the tax authorities every year. If the tax authorities have reason to request your mileage log, you will be notified of this by post.

It is important to know that the tax authorities regularly carry out checks on company vehicles. For example, at weekends at Ikea and other typical private venues. They do this using a scanner or a mobile scanning vehicle. Suppose, for example, that your company vehicle is spotted on a Sunday morning in the car park of the Efteling or Ikea; they will check whether additional tax is being paid on the vehicle.
